These Terms and Conditions ("Terms") govern your use of the website printzilla.co.za and the services offered by PrintZilla (trading as Crystalbird Technology / PrintZilla) ("we", "us", "our"), including printing, design, delivery and online document certification services. By placing an order or using our services, you agree to these Terms.
1. Who we are
PrintZilla provides commercial and consumer printing, design tools, courier delivery and remote document certification services within South Africa. Contact details and banking information appear on quotations and invoices we issue to you.
2. Services generally
- Orders are subject to acceptance and availability. A quotation or invoice does not guarantee completion until payment is confirmed (where required) and materials are verified.
- Prices, turnaround times and courier fees may change. The amounts shown on your quotation or invoice at the time of acceptance apply to that order.
- You are responsible for providing accurate contact, delivery and file information. Delays or failed delivery caused by incorrect details are not our responsibility.
3. Document certification services (important)
Our certification service involves verifying uploaded materials and producing printed certified copies for delivery. Please read this section carefully.
3.1 Nature of the service
- You upload a clear photo of your face while holding your ID, certificate or other document, a copy/scan of the supporting document, and optionally the reverse side of an ID or document.
- We use these materials to verify identity/document consistency for the purpose of producing certified copies as a private service provider.
- We are not a government office, Home Affairs, SAPS station Acceptance of our certified copies is at the sole discretion of the receiving organisation (employer, university, bank, embassy, government department, etc.).
- You must confirm with the requesting institution whether they will accept a remotely prepared certified copy from a private service before ordering.

3.2 Your warranties when ordering certification
By submitting a certification order you represent and warrant that:
- You are the lawful holder of the identity document or other document, or you have full authority to request certified copies of it.
- All photos and files you upload are genuine, unaltered (except for reasonable cropping/rotation for clarity), and accurately depict you and the document.
- You will not use our service to forge, falsify, or misrepresent identity documents or to commit fraud or any other unlawful act.
- You understand that providing false documents or false information may constitute a criminal offence under South African law.
- Fake, forged, altered or otherwise fraudulent documents or photographs submitted through this service may be retained and submitted as evidence to the Department of Home Affairs, the South African Police Service (SAPS), or any other competent authority. We reserve the right to report suspected fraud, identity theft or related offences without prior notice to you.
3.3 Verification, refusal and reporting to SAPS
- We may refuse, suspend or cancel any order if photos or documents are unclear, inconsistent, appear altered, or raise reasonable suspicion of misuse.
- If we refuse an order after payment for reasons related to verification failure caused by your materials, we may deduct reasonable administrative costs before any refund, or offer a credit for a corrected resubmission, at our discretion.
- Where we reasonably suspect that uploaded materials are fake, fraudulent or intended for criminal use, we may preserve those materials and related order details and submit them to SAPS (or another lawful authority) as evidence, and cooperate with any investigation.
3.4 No guarantee of third-party acceptance
We do not guarantee that any employer, institution, bank, court, government body or other third party will accept certified copies produced through this service. You use the service at your own risk in that regard. We are not liable for any loss arising from a third party declining to accept the copies.
4. Uploads, files and intellectual property
- You retain ownership of content you upload. You grant us a limited licence to store, process, print and deliver that content solely to fulfil your order and for related support, record-keeping and legal compliance.
- You must not upload content that infringes copyright, trademarks, privacy or other rights of third parties, or that is illegal, defamatory or harmful.
- We may delete uploaded files after a reasonable retention period once the order is completed, subject to legal or accounting retention requirements.
5. Privacy and personal information (POPIA)
- We process personal information (including identity photos and document images) in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and only for legitimate purposes related to your order, verification, delivery, payment, customer support and legal obligations.
- Identity and document images are sensitive in nature. Access is limited to personnel who need them to process orders. We implement reasonable technical and organisational measures to protect them, but no online system is perfectly secure.
- We do not sell your personal information. We may share it with couriers, payment processors or professional advisers only as needed to perform the service or comply with law.
- You may request access to or correction of your personal information by contacting us. Certain retention may be required by law.
6. Payment, quotations and cancellation
- Quotations are typically valid for a limited period stated on the quote. Payment instructions appear on the quote or invoice.
- Work may begin only after we receive cleared payment, unless we agree otherwise in writing.
- If you cancel after production or after courier collection has been arranged, you may be charged for work already done and non-refundable courier or material costs.
7. Delivery
- Delivery times are estimates. Delays caused by couriers, weather, strikes, incorrect addresses or force majeure are outside our control.
- Risk in goods passes to you on delivery to the address you provided (or on collection if applicable). Please inspect packages on receipt and report damage within a reasonable time.
8. Limitation of liability
- To the maximum extent permitted by South African law (including the Consumer Protection Act 68 of 2008 where it applies), we are not liable for indirect, incidental, special or consequential loss, including lost opportunity, lost profit, or losses arising from a third party refusing to accept certified copies.
- Our total liability arising from any single order is limited to the amount you paid us for that order.
- Nothing in these Terms excludes liability for gross negligence, wilful misconduct, or any liability that cannot lawfully be excluded.
9. Prohibited use
You may not use the website or services to:
- Commit fraud, identity theft, or any criminal offence;
- Upload malware or attempt to breach our systems;
- Harass staff or other users;
- Resell our certification as if it were an official government certification without disclosing the nature of the service.
10. Changes to these Terms
We may update these Terms from time to time. The version published on this page applies to new orders placed after the update. Material changes may also be highlighted on the certification form.
11. Governing law and disputes
These Terms are governed by the laws of the Republic of South Africa. Courts of South Africa have jurisdiction, without prejudice to any rights you may have under consumer protection legislation.
